Maybe you don’t like Gmail’s web interface and prefer a desktop email client, or you may want to manage your email from one place.. Whatever the case, adding your Gmail to Outlook is easy.
These instructions assume you have at least one email account in Outlook. If you don’t have an account, Outlook prompts you to create a new account the first time you open it.. If we said account, it is not an account creation process at length.. Actually, the process is to assign a password to Outlook.. It’s an easy process. When you open Outlook, you set a password to open Outlook on the screen above that appears in the profile account you will create.. It is an action for security
1. Enable IMAP in Gmail
First you need to enable IMAP in your Gmail settings so you can access your Outlook mails. Sign in in a browser with your Gmail account. From your inbox, click the Gear icon in the upper right corner and select Settings.
“Forwarding and POP / IMAP” in the tab you will find the settings you need. Here you can choose between POP and IMAP protocols for email synchronization.. In almost all cases we will use IMAP as POP is outdated and does not work with multiple devices. If you’re using IMAP, select “Disable POP” at the top to copy emails later.
In the IMAP Access section, select “Enable IMAP” option. If you have a large number of emails, you may want to use the “Folder Size Limits” control when you continue down.. This allows you to limit syncing to folders with less than a certain amount of messages.. This is to prevent email abuse. Click “Save changes” after making the changes.
If You Use Gmail’s Two-Factor Authentication
To add another layer of protection to Google accounts Those using factored authentication need to take an extra step before continuing. Outlook does not support two-factor codes. Therefore, if you do not create a custom password in your Gmail settings, the connection in the next step will fail.
To do this, click your “profile” image in the upper right corner of Gmail. click and select “My Account“. Click the “Login & Security” box, then scroll down to the “App passwords” entry. You may need to confirm your password to continue.. On this page, you can create a one-time password to use with apps that do not support two-factor authentication.. This field will not appear if you are not using two-factor authentication. Then you don’t need to do this step anyway.
You only need to enter the password once, so you don’t have to remember it, just write it down.. Under the “Choose an application” drop-down box, select “Mail“, then “Windows Computer” for “Select Device” choose “. This is just to help you remember what the app password is, also feel free to use the Other field to set a custom name. After clicking “Generate” you will get an app password. You’ll use it in the next step.
Adding Gmail Account to Outlook
Now your other mail clients can access your Gmail, it’s time to add your account to Outlook. Open Outlook and click “File” in the top left corner. In the resulting panel, make sure you are on the Info tab. Select the “Add Account” button at the top to start the process.
I did this in Microsoft Office 2010. If you have the new version, it may differ visually.. Enter your Gmail address as the e-mail address. The password part is for if you don’t have two-factor authentication you will enter your regular gmail password, if you have two-factor authentication you will enter the password we created above in the “Password” field.. We recommend using your two-factor authentication.
There is no need to tick anywhere else. Just enter your name, e-mail address, and password.. Do not tick the options below. After the processes are finished, you will continue by saying “Next“. In a few minutes all your Gmail mails will arrive in your Outlook.
If you get an error message, make sure you typed your password correctly. After clicking “Retry” once in our tests, the installation was successful after that. If you are sure everything is correct, you may need to enable access to “less secure” apps in your Google account.
3. Gmail Contacts, Calendar, Settings in Outlook
If you plan to use your Gmail account in Outlook most of the time, it makes sense to set it as default. In Outlook, go to File> Info> Account Settings and click Account Settings from the dropdown box. On the Email tab, click your Gmail address and select Set as Default. Outlook will be opened by default from now on.
The above actions were performed using two-factor authentication in Windows 8.1 and Microsoft Office 2010 and no errors were received.
